Dr.Sundaram & Sri Sabesan Narayanaswamy,
1. Venue: We managed a participation of approx 620 at Chennai. We should be happy if we can manage 200 to 250 at Bangalore since total population of our community is less there.
If we can have a hall to accommodate 400 to 500 people it is more than sufficient. If it is slightly less with more open space is also alright. Chennai hall could accommodate only around 300 people but since lot of open space plus staggered registration helped us to manage the situation.
Can parking facilities is a must. If a canteen is there, there is no problem - otherwise we can manage.
Please get a hall and suggest the estimated cost for the above requirements.
2. Just plastic chairs are sufficient. Two mikes - one for our Hero Sri Sharma and other for the participant is a must. Please get the rent estimates for the same.
3. We didn't spent anything on advertisements at Chennai. We got maximum free publicity thanks to Sri GS. Probably we can put up some banners at places where our community is concentrated. Any way Sri GS is the best person to answer this question.
4. Sri GS will manage. I request him to reply for this also.
5. Program time was between 9 AM to 4 PM. We assembled at 7 AM and started registrations. Just a simple introduction at 9 AM explaining the event and introducing the organisers which will be over in 15 minutes. Then Sri Sharma will take over. Each and every participant will be called to the stage to explain the expectations - hardly two minutes. In the meantime, Sri Sharma will study the horoscope and suggest the action plan to the participant. If a matching mate is available on the site, they will be brought together at the stage itself.
Program ending is not in our hands and it may prolong depending on the crowd and participation.
As organisers, we have to play only a supporting role at registration point and managing other activities related to media etc. Sri Sharma will handle the stage totally.
6. If the registration is done online including spot registrations at the venue then there will not be much of work for others. I think if you can manage 4 or 5 people locally, it is sufficient. I think our own members will make up the above quantity. Sri Sharma will bring his team and some of us from Chennai will also participate as volunteers.
I hope you will be more clear now and if you still have doubts, please don't hesitate to talk to any of us - Sri Sharma, Sri GS, Sri Pravaeen or me.
We intend to have an internal meeting of Chennai based members tomorrow evening and shall organise to send somebody to Bangalore if required.
Thanks and all the best
